Job Title: Accounts Payable Technician FLSA Exemption Status: Non-Exempt State/Business Line Specific: Management Company Reports to: Accounting Manager Supervises: N/A Job Summary Under the supervision of the Accounting manager, the Accounts Payable Technician reviews all incoming invoices for accuracy and prepares payment authorizations following the Generally Accepted Accounting Principles (GAAP) and InnovAge policies and procedures. Essential Functions and Work Responsibilities Functional Category: Processing and Administration Estimated Percent of time Spent - 100% --- Reviews daily incoming email in order to receive incoming invoices and statements in a timely manner. --- Processes in Solomon and files documents by vendor name in the document management system electronically. --- Addresses invoices or statements that note a past due balance or are in status of collection immediately and places items on the top of priority lists. --- Reviews invoices and confirms; previous payment of invoice and contract amount agree/disagree. --- Matches purchase order numbers with invoices and verifies purchase order items and contract prices match. --- Present invoices with back-up documentation to Center Directors or Department managers for approval and signatures to pay. --- Performs coding of accounts payable entries from vouchers and enters data into accounting software program. --- Provides Senior & Staff Accountants with monthly accruals for expenses incurred on invoices that have not yet been processed or expenses incurred that have not yet received billing at end of month. --- Corrects entries as directed by the Accounting Manager and performs data entry into Solomon program in order to place invoices on hold or issue payments. --- Ensures that checks are mailed the next business day of computer run date in order to provide timely payment of expenses. --- Maintains accounts payable files and ensures that information is correctly placed and easy to access for auditing reviews. --- Additional various accounting duties may be assigned Travel Requirements Travel --- Some travel may be required --- Occasional overnight travel in or out of state Relocation --- Must be open to relocation based on business necessity Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions REQUIRED Education --- High School Diploma or GED Work Experience and Qualifications --- Minimum of one year of experience in accounts payable and accounting or equivalent combination of education and experience. --- Experience and working knowledge of basic office machines including, ten-key pad on computer keyboard, printers, copiers and scanners. --- Must be able to type at least 25 wpm and use 10-key by touch. PREFERRED Education Associates degree, Certificate or college coursework in Accounting Principles and/or Bookkeeping or a related field from an accredited college/university Bi-lingual preferred Other Knowledge Skills and Abilities Required Computer Skills --- Must be computer proficient and possess experience with Microsoft Word, Excel, and Outlook. --- Must be able to quickly learn specific software and new applications. Mathematical/Financial Skills --- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. --- Able to analyze data and statistics and draw reasonable conclusions and compile accurate reports. Language Skills --- Ability to read, analyze and interpret regulations and other documents. --- Strong interpersonal skills and ability to effectively and tactfully present information to, and communicate with, co-workers, employees, and others. --- Possess exceptional English written and verbal communication skills, including accurate grammar and business correspondence knowledge. --- Ability to read and write memos, reports, and correspondence that conform to prescribed style and format. Keeps self informed of announcement made via established company venues Physical Demands /Work Environment PHYSICAL DEMANDS Must possess mobility to work in a standard office setting, or clinical setting, and use standard office equipment, including a computer, and medical equipment; vision to assess emergency situations, including medical incidents and to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. Depending on assignment, standing in work areas and walking between work areas may be required, and travel to visit various cultural, physical, behavioral and environmental settings may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator and to operate standard office and medical equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed. Reasonable accommodations will be made for individuals on a case-by-case basis. WORKING CONDITIONS Employees primarily work in an office environment with moderate noise levels and fluctuating indoor temperatures. Employees may work outdoors and are occasionally exposed to loud noise levels and cold and/or hot temperatures. Incumbents may be exposed to blood and body fluids while working in a Center. Employees may interact with members of the public or with staff under emotionally stressful conditions while interpreting and enforcing departmental policies and procedures. STRESS FACTORS May require working under stressful conditions with pressure to meet scheduled deadlines. There may be distractions such as phone calls, work interruptions, and communication from co-workers and participants with the need to respond and intervene appropriately to multiple interruptions.
