Job Description ****** Facilities Space Planner (Open) Job Title: Facilities Space Planner About the Role - You will: - Manage system furniture product ordering, installation, reconfigurations (including power and data) and punch list activities - Manage site space management AutoCAD drawings, documentation and activities - Manage space allocation and related reports and drawings for site: space summaries, department location plans, conference room plans - Ensure master building AutoCAD drawings are updated with any changes from project As-builts - Review, manage, and oversee small projects and/or provide project management support on large construction activities, including Contractor's schedule, RFI's, RFP's, bid analysis, submittals, change order requests, and punch lists. - Coordinate with architects, engineers, general contractors and subcontractors. - Coordinate with cross functional departments to collaborate on projects - Provide appropriate, timely and accurate written correspondence (email, progress and status reports, notifications, memoranda, executive summaries, etc.) - Present project status to management including timelines, issues, risks, and communication - Prepare and manage various accounting spreadsheets, cost estimates, budgets, financial summary and budget tracking - Keep abreast of Seagate procedures (i.e. Finance, EHS, Security, IT, etc.) utilized by Facilities and ensure project compliance. Develop checklists and timelines to assist Facilities staff - Adhere to Facilities Department processes and draft and/or revise departmental procedures - Review and understand contract documentation (Non Disclosure Agreement, Statement of Work, Independent Contractor Agreement) - Control project quality and ensure compliance with building standards, Seagate standards and governmental requirements - Gain and maintain knowledge of Seagate Environmental Health and Safety policies and ensure all contracted suppliers are knowledgeable of Seagate requirements - Secondary--Provide Back-up when primary person is not available: - Coordinate and manage daily, small and large people and lab equipment relocations - Manage and implement site furniture, process and program standards - Manage system furniture product ordering, installation, reconfigurations (including power and data) and punch list activities - Identify project tasks and resources, and schedule and supervise work as needed - Coordinate Facilities suppliers including furniture, move support and sub contractors - Generate, coordinate and support Facilities Service Requests - Coordinate site meeting set ups - Coordinate e-waste pick-ups About Our Group The Longmont Site Facilities Team is part of the Workplace Services group, which also includes Non-Operations Global Facilities, Global Real Estate and Global Environmental, Health and Safety. Facilities is responsible for all facets of running a site, including projects, space management, maintenance and services. This team closely interacts with employees, contractors, and other key departments within Seagate including Security, IT, HR and EHS. About You - You have the proven ability to manage system furniture product ordering, installation, reconfigurations (including power and data) and punch list activities - Proven ability to manage space management drawings, documentation and activities - You are assertive, as well as a good verbal communicator, and the administrative ability to provide appropriate and accurate written correspondence (email, progress and status reports, notifications, memoranda, executive summaries) - You are process and detail oriented, as well as having the ability to multitask - You are an organized planner and have good follow-thru - You know how to set objectives and goals, and break down work into process steps - Demonstrated ability to independently manage multiple assignments, competing priorities and request additional resources if necessary - Ability to deliver a high level of administrative processes required in managing projects - Ability to comprehend city and regulatory agency permit process Your Experience Includes - Furniture, space planning and move management. - Strong AutoCAD experience creating, managing and manipulate existing files, modify layouts and prepare space plans - Demonstrated experience leading and managing contractors, suppliers and programs - Demonstrated experience coordinating small to large, varying complexity, people and lab equipment relocations - Demonstrated proficiency with MS Office (Word, Excel, Project and PowerPoint) - Experience using Google for Business (Mail, Docs, Sheets, Drive) - Bachelor's degree and/or equivalent work experience in facilities, construction or the furniture industry Location: Longmont, Colorado Travel:
