Job Description:


To provide administrative support to the President and CEO, the Vice-President of Corporate Strategy, and the Board of Directors. Collects information as needed by executives for organizational documents and correspondence; manages schedules; handles details of a confidential nature; and manages the coordination of Board activities. Conserves CEO's time and promotes the corporate image by representing the CEO internally and externally with excellent customer service and professionalism.


* Provides direct administrative assistance to the President and Chief Executive Officer and Vice President of Corporate Strategy;
* Schedules, coordinates and attends meetings as requested;
* Records minutes of all Board and Board Executive committee meetings and other meetings when necessary;
* Initiates and/or drafts responses to written correspondence;
* Screens and/or routes telephone calls, incoming mail, publications and other correspondence;
* Makes travel arrangements, conference registrations and prepares itineraries for CEO and approved staff;
* Expense report and credit card reconciliation;
* Implements weather closure procedure;
* Maintains CEO files;
* Prepares or assists in the preparation of reports;
* Provides technical word processing support;
* Coordinates arrangements for executive meetings;
* Supports President and CEO in management of his/her schedule;
* Directs, trains, and works collaboratively with other executive support staff as required;
* Interacts and provides support, as needed, to other Executive team members;
* Completes projects and special assignments by establishing objectives;
* Determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving;
* Making adjustments to plans: improves quality results by studying, evaluating, and re-designing processes; implementing changes.
* Provides administrative assistance to the Board of Directors;
* Responsible for coordination of Board meetings and development of Board agendas;
* Records and distributes minutes of monthly Board meetings and Board Executive Committee meetings;
* Coordinates special Board meetings and activities;
* Updates Board Bylaws and Policies;
* Coordinates interviews for potential Board members;
* Coordinates with Jefferson County Board of Commissioners and staff;
* Assists Board President and Board members as needed;
* Responsible for filing system of all Board related items.
* Assists board members with travel arrangements, lodging, and meal planning as needed;
* Adheres to compliance with applicable rules and regulations set in bylaws and policies regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.

Training and Experience:

* High school graduate plus six years relevant experience, including three years as an Executive Assistant.
* Two years of advanced education may be substituted for one year of experience; a four year college degree may be substituted for four years' experience.

Knowledge and Abilities:

* Requires broad knowledge of organizational operations and policy and a high level of experience, discretion and technical skill;
* Ability to accurately capture and transcribe minutes of meetings;
* Word processing/typing at a level of 60 WPM;
* Excellent organizational skills; strong communication skills both verbal and written;
* Good judgment;
* Excellent customer services skills necessary to maintain good working relationship with other employees and all outside contacts;
* Excellent attention to detail;
* Must work both independently and as a team player.
* Computer skills should include proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
* Supervisory experience a plus.
