Job Title: Family Support Coordinator
Department: Extended Learning & Community Schools
Location: Acoma Office
Schedule: 235 Work Year Schedule
Salary Range: $51,940 - $60,235

Overview and Purpose:
Administers and manages activities within a specific area of
responsibility. Serves as a subject matter expert and applies
gained knowledge to execute, maintain and improve systems,
programs, or processes.
Essential Functions and Objectives:
- Leads special events or new project initiatives to maximize
site capacity and further engage participants in services; supports
the ongoing expansion of services offered at Discovery Link sites
and leads outreach with families.
- Supports daily operations and program support of Discovery Link
sites, including phone calls and responding to voicemails; assists
with help ticketing system for families.
- Creates resources, plans, and leads training to assist families
and staff with registration, enrollment, and ongoing programming
needs.
- Meets regularly with the site staff to lead professional
development and support best practices for after school
programming; engages in skills training across the department to
ensure quality control and efficiency when working with
grant-driven programs.
- Leads administration of family and student satisfaction survey;
creates reports based on results and collaborates across the
department to drive process improvement based on feedback.
- Creates department's communications calendar; ensures timely
creation, collection, and distribution of content.
- Create and manage a master calendar for the department of more
than 500 employees. Create an emergency response and coordination
plan (Covid quarantines, etc.)
- Responsible for maintaining social media feeds; including
Facebook, Instagram, Linked In, Twitter, and others as
directed.
- Leads email response efforts to parent inquiries and requests
for assistance; writes clearly and concisely, identifies and works
collaboratively with other departments to solve identified issues,
maintains 48 hour response rate.
- Leads efforts to protect the privacy and confidentiality of
student and employee data according to FERPA and district policy;
responsible for media release collection and verification
procedures.
- Composes and edits internal and external correspondence and
documents; responsible for creating templates for site level staff;
writes internal and external newsletters; maintains and ensures
adherence to email and text communications calendar.
- Responsible for production of annual school year, summer and
employee handbooks; includes drafting, proofing, translating, and
producing content.
- Maintains website
- Responsible for ensuring families receive information on all
upcoming enrichment events including family nights, registrations,
enrichment fairs and camps.
- Develops, establishes and leads operational
processes/procedures and identifies opportunities to improve the
efficiency and effectiveness of database operations.
- Collects, reviews, and processes various financial information
and transactions, including accounts payable/receivables,
purchasing/receiving, and other duties as directed; performs
analysis and generates financial reports; provides input to aid in
the development of a complete budget.
- Responsible for leading department's employee appreciation and
culture building strategies; including planning events and awards
ceremonies, and steering committees involved in these efforts.
- Provides project management support, including leading assigned
operational projects, producing status reports, developing
schedules, and tracking action steps through resolution.
- Coordinates with relevant District services (e.g. technology,
safety, human resources, facilities, related departments) to ensure
effective operations; may provide guidance or direction to related
staff.
- Leads department's family appreciation efforts; responsible for
planning events and ensuring families receive all pertinent
information.
- Compliance support (working with Licensing Manager/Coordinator
to schedule training for staff and going to sites to assess and
support them).
- Assist in providing on-site training, and coaching new staff
members to create a harmonious and efficient working environment.
Education Requirements:
- High School Diploma or equivalent
- Bachelor's Degree preferred Knowledge, Experience, & Other
Qualifications:
- 3 plus years of business operations, project management, or
related field
- Effective time management and organizational skills
- Effective and diplomatic verbal and written communication
skills and excellent presentation skills with an emphasis on
communications with students,
- collaborative decision-making teams, and diverse, multicultural
communities.
- Strong analytical skills and attention to detail
- Effectively handles multiple demands and competing deadlines,
even with
- interruption.
- The ability to take responsibility for one's own
performance
- Ability to set goals, work independently and drive results
- Ability to be flexible with work hours in order to meet the
schedule-related needs of
- parents, including early mornings, evenings, and weekends.
- Works collaboratively with others on a team
- High degree of integrity in handling confidential
information
- Ability to work with different levels of staff throughout an
organization and translate
- operational improvement and customer needs into processes and
solutions
- Bilingual skills in Spanish desired
