Executive Administrator to the SVP General Counsel & CIO

Job Description:

Reporting directly to the SVP, General Counsel (GC) and the Chief Information Officer (CIO), the Executive Administrator provides executive-level support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the General Counsel and Information Technology. The Executive Administrator also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The ideal individual will be highly resourceful with the demonstrated ability to operate efficiently with minimal supervision, exercising sound judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Administrator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. ESSENTIAL FUNCTIONS * Manages two extremely active calendar of appointments * Completes expense reports * Arranges complex and detailed travel plans, itineraries, and agendas; to include compiling documents for travel-related meetings * Exercises good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities * Works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion * Anticipates the GC's and CIO's needs and proactively bring together the appropriate people and resources to support the GC and CIO in addressing these issues; acts as a "barometer," having a sense for the issues taking place in the environment and keeping the both updated * Completes critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem solving; making adjustments to plans * Proactively seeks to improve quality of results by assessing/evaluating, and (or) re-designing processes and implementing changes when needed * Provides a bridge for smooth communication between the supported teams and internal departments; demonstrating leadership to maintain credibility, trust and support with Senior Leadership and their staff * Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the GC and CIO, some of which may have organizational impact. * Detail planning of offsite meetings for teams * Ability to handle multiple high level priorities at a time * Performs other duties as assigned POSITION QUALIFICATIONS Competency Statement(s) * Communication, Oral - Expert level written and verbal communication skills * Detail Oriented - Ability to pay attention to the minute details of a project or task * Interpersonal - Very strong interpersonal skills and the ability to build relationships with stakeholders, staff, board members and external partners * Organized - Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail * Adaptability/Flexibility: Adapts to change, is open to new ideas, takes on new responsibilities, handles pressure, and adjusts plans to meet changing needs * Initiative: Tackles problems and takes independent action, seeks out new responsibilities, acts on opportunities, generates new ideas, practices self-development * Time Management - Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment Education: Associates degree and/or equivalent experience 8-10 years prior experience supporting C-Level Executives SKILLS & ABILITIES Computer Skills Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media platforms Physical Abilities The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
