Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.Nature of Work:The HR & Payroll Coordinator will be responsible for providing human resources and payroll administration for the School of Education & Human Development (SEHD). This position performs functions related to recruiting, on-boarding, off-boarding, payroll, leave usage, immigration paperwork, and record keeping and retention.Examples of Work Performed: Under the guidance and direction of the Manager of HR and Payroll, this position will perform the following duties:Payroll and related duties:* Coordinates student employment, including tracking work study awards and assisting with the hire, reappointment and termination records.* Send out new hire packets, follow up, schedule appointments and meet with new employees to receive paperwork and verify employment eligibility.* Complete I-9 and background verification processes.* Works with International Students and Scholars Services to submit the DS-2019 for J-1 Scholars, file H1-B petitions, and assist with permanent residency applications for faculty members; coordinate with new faculty and sponsors to collect, submit and track immigration documentation.* Prepares and submits monthly Personnel Matters Reports on behalf of School by established deadlines.* Coordinates leave usage and documentation for all college personnel and ensures appropriate policies and procedures are being followed for compliance to applicable rules and guidelines (includes FML, Workers Comp, Parental leave, leave without pay).* Coordinate, process, and reconcile leave usage and time reporting (monthly and bi-weekly) using HCM and MyLeave. Ensures HR and ES payroll deadlines are met.* Audits biweekly and monthly payroll registers and alerts the Assistant Director of Finance of any over or underpayment of employees. Reconciles actual to submitted payroll.HR Administration and Projects:* Manages personnel files, responds to HR and ES file audits.* Help maintain HR webpages with current information, forms, and resources on the SEHD employee "intranet."* Assist with generating, compiling and sending out reports, mass email communications, tracking employee records and trainings, maintaining paper and electronic files, and scheduling and hosting meetings.* Track a variety of paperwork and data in databases/spreadsheets (e.g. personnel actions, hiring paperwork, annual performance evaluations and professional plans).* Assist with the administrative aspects of annual merit review and salary adjustment process. Distributes appropriate forms, tracks completion and return of documentation, prepares and distributes merit letters, and submits evaluation forms to Campus HR.* Ensures checkout notifications are submitted for terminating employees. Meets with all departing classified, university and faculty staff to ensure exit checklist is completed.* Assists with meetings designed to inform SEHD managers or employees of relevant HR policies and processes. Includes co-development of agenda and materials, and co-presenting information.* Coordinates contact with other campus and university administrative offices responsible for personnel and payroll matters.* Assists in development of, and updates to, the SEHD's human resource and payroll procedures that ensure compliance with university, state, and federal policies.* Develops expertise in interpretation of relevant guidance and policies (e.g., state classified rules).* Recommends internal office processes that improve services to deans, faculty, staff and other service units.* Prepares and maintains letter and email templates for correspondence, as well as creates and maintains procedure manuals for HR business processes.* Assist with coordinating tasks and assignments for student employee(s).* Perform other duties as assigned.Search Support and Onboarding:* Enter employee and position information into CU Careers and HCM.* Provide search support in CU Careers:* Create, maintain and close out job requisitions.* Change status for applicants as they move through the review process.* Correspond with applicants; answer questions from applicants in regards to the application process.* Assists the search committee by providing applicant review matrices, reviewing interview questions for appropriateness, scheduling interviews with candidates, requesting reference check reports, and communicating regret notices to candidates.* Generates and sends out offer letters.* Coordinates and oversees new employee onboarding process, including coordination with supervisors and ensuring completion of all necessary paperwork (I-9's, background checks, personnel data, faculty oaths, etc.) through individual new hire meetings.* Schedules employees for New Employee Orientation, tracks the development of their professional plan/PMP (if university or classified staff) and ensures new hires complete online trainings required by the university.* Maintain electronic versions of organizational charts.This description is a summary only and is describing the general level of work being performed, it is not intended to be all-inclusive. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.* One year of professional experience processing human resources transactions.Applicants must meet minimum qualifications at the time of hire.Conditions of Employment* This position functions as the first point of contact for the School of Education & Human Development, therefore this position is required to work 8:00 a.m. - 5:00 p.m. Monday - Friday.
