Job Description:

At CoBank, the Director, Corporate Events oversees the planning of meetings and special events for the bank for multiple client groups, including customers, employees, executives and board members. Coordinates with business line leaders and other internal customers to support organizational goals through successful event planning. Works with bank's senior and executive management to develop and implement the event marketing strategy, plan and calendar. Responsible for managing the event marketing team in the execution of the plan. Serves as an event consultant to senior management in the planning and strategy of bank-wide and divisional events. Manages event budgets and negotiates all necessary contracts. Ensures coordination of all amenities, accommodations and related items including site selection, staffs, food, transportation, shipping, communications and audio or visual equipment. Accountable for both internal and external attendee satisfaction with events, attendance trends, event quality, vendor performance and materials.

Essential Duties and Responsibilities

  • Responsible for overall event marketing program, including strategy and execution, calendar management, and oversight of all events and meetings.
  • Develops and executes a comprehensive meeting and special events vision and strategy for CoBank.
  • Works closely with and provides top-level customer service to the chief executive officer, other executive management and the Board of Directors in the planning and execution of all corporate events.
  • Acts as an internal consultant and project manager for all aspects of large-scale meetings within the event marketing program, including invitation strategy, speaker selection, meeting and event budgeting, and the development of print and other materials.
  • Performs a variety of tasks related to meeting planning and preparation, including but not limited to management of on-line registration preparation and reports, responding to inquiries, and site selection and management.
  • Develops and monitors budgets to ensure revenue and expenses are kept within established parameters. Reviews financial information for accuracy, such as invoices for services and materials including from hotels and subcontractors, and prepares financial summaries, aligned to budget parameters.
  • Acts as manager and mentor to three-person event marketing team.
  • Develops and implements team processes and reporting, and ensures that all contracts are within legal department guidelines and in the bank's best interest.
  • Develops and monitors timelines and promotional schedule for events, working with corporate communications staff to ensure adequate and proper promotion.
  • Provides regular status and reporting information, including feedback from events and meetings, to executives and other key stakeholders.

  • Monitors trends, identifies opportunities and makes recommendations for enhancements to optimize the events function, spend and performance.
  • Manages staff. Sets performance standards, manages workflow, engages and motivates staff, grants authorities, evaluates performance, and recommends personnel actions within delegated authorities. Develops and trains staff to have the capabilities and abilities to perform the Events function at a high level of performance, timeliness, efficiency, effectiveness, and professionalism. Takes prompt and appropriate corrective actions to address staff performance and/or behavioral issues. Consults with Human Resources as appropriate.

    Basic Qualifications

    • Bachelor's degree in Hospitality, Marketing, Communications or related field.
    • Thirteen (13) or more years of event marketing / planning experience; or an appropriate combination of education and experience.

    • Five (5) or more years of management / supervisory experience, preferably in marketing and communications, online content creation, or other relevant field in a corporate business environment; or an appropriate combination of education and experience.

      Preferred Qualifications

      • Corporate event / meeting planning experience working with senior executives and/or boards of directors strongly preferred.
      • Demonstrated experience managing on-site events, with the ability to make decisions and solve problems related to vendor management and customer and management requests and changes.

      • Knowledge and ability to respond to on-site emergencies with calm and professional efficiency.
      • Strong organizational and project management skills, including the ability to manage workloads and budgets, and prioritize and communicate tasks for multiple projects across the team and for other stakeholders.
      • Excellent verbal and written communications and presentation skills.
      • Excellent interpersonal skills, with the ability to build effective relationships with all levels of management, staff, external customers and vendors, and to work effectively with diverse teams.
      • Excellent customer service and detail orientation.

      • Strong management and leadership skills, with the ability to motivate and lead a team to successfully deliver results.
      • Knowledge of Microsoft Office applications (Outlook, Word, PowerPoint and Excel).
