Job OverviewThis position is responsible for general administration and support in the Boulder office. Tools and vehicle will also be provided for day-to-day travel to buildings.Essential Functions* Answering and directing calls* Professionally greet all walk-in guests and provide guest assistance* Coordinate reception desk coverage* Coordinate with building management/maintenance for office needs* Coordinate incoming/outgoing mail, packages and deliveries* Monitor office supplies and inventory, select and coordinate with vendors, and place orders as needed* Monitor groceries/beverages and place orders as needed* Prepare weekly invoices and complete purchase orders as needed* Calendar and meeting management; including scheduling and travel coordination* Client relations (purchasing gifts, scheduling/planning off-site events, etc.)* Expense reporting* Maintain current and accurate information in files* Maintain current company directory, phone lists and other lists as needed* Assist with onboarding of new hires and independent contractors* Maintain general office tidiness* Meeting and event coordination and support* Support associates with scheduling conference rooms, mail, faxing, etc.* Coordinate with IT and outside vendors for copy machines, printers, etc.* Calendar and meeting management, including scheduling and travel coordination* Miscellaneous job-relates duties and projects as assignedQualifications* 2 years of administrative and/or office administration experience* Must have excellent phone etiquette* Must be able to read, write and speak English* Must have strong computer skills* Must have strong working knowledge of Microsoft Office programs* Must have exceptional detail in follow-up* Must be able to work well under pressure* Must be trusted not to disclose sensitive and confidential matters* Must be able to accurately follow instructions, both verbally and written* Must possess excellent communication skills* Must be professional in appearance and demeanor* Must have excellent listening skills* Must be organized with ability to prioritize and multi-task while dealing with interruptions* Must always ensure a teamwork environment* Must have the ability to deal effectively and interact well with the guests and associates
