Job Description:

TITLE: Administrative Assistant DEPARTMENT: Access-a-Ride LOCATION: Denver REPORTS TO: Access-a-Ride Driver Supervisor General Purpose: Perform a wide range of administrative and office support activities for the Access-A-Ride Department manager to facilitate the efficient operation of the department. Essential Duties/Responsibilities: The essential functions of the position include, but are not limited to, the functions outlined below. Familiarity with Federal Motor Carrier Safety Regulations of Department of Transportation (DOT) Motor Carriers in regard to hours of service of drivers. Daily data entry of drivers on duty and drive time. Know or ability to learn and understand Via Mobility and RTD policies and regulations for the Access-A-Ride Division. Review completed manifests for correctness in conjunction with hours on duty and drive time. Daily check and/or enter time clock entries of drivers and employees for accuracy such as lunches, vacations or sick times. Keep Time off Requests up-to-date in Paylocity. Record and maintain accurate attendance records of drivers and employees Greet and direct visitors and clients. Prepare and maintain accurate reports of DOT hours of service of drivers for RTD and State audits. Report to manager when a driver is over and/or nearing DOT hours. Report to manager and prepare a notice for drivers when they have exceeded 10 hours of drive time and/or 12 hours on duty. Assist in educating drivers of DOT hours of service. Assist answering phones. Assist in Dispatch as needed. Maintains confidential information and understand the need for confidentiality. Perform general clerical duties such as photocopying, fax and mailing Coordinate maintenance of office equipment. Other duties as assigned. Qualifications: High School Diploma or GED Ability to read, write and speak English. Must be proficient in Microsoft (Office, Word, Excel.) Communicate efficiently and effectively both verbally and in writing. Strong Attendance and punctuality record. Strong interpersonal skills. Familiarity with office machines (i.e. copies, fax machine, printers, etc.) Strong typing skills and knowledge of 10 key. Ability to multi-task, ability to prioritize and follow directions accordingly. Attention to detail and accuracy. Flexibility, adaptability, planning and organizing.
