As a Center for Independent Living, we support the rights of people with disabilities to control their own lives by providing advocacy, life skills training, transition services (Youth, from nursing homes, and diversions from institutions) information and referral, and peer support. The mission of Atlantis is to advocate for all people with disabilities to be a meaningful part of an integrated community of their choice.As Executive Assistant/Office Coordinator, you will be an integral part of the operations team and a member of the Atlantis Community. The Executive Assistant/Office Coordinator supports theExecutive and Associate Directors. The person in this role must be creative and enjoy working within a small non-profit environment that is mission-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant/Office Coordinator will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant/OfficeCoordinator reports directly to the Associate Director.Essential Duties and ResponsibilitiesExecutive Assistant: Provide comprehensive support services to the Executive and Associate Directors that ensures outstanding communication and responsivenessProvide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagementsSupport Executive and Associate Directors with internal and external communicationsConduct research and analysis on issues of interest to the Executive and AssociateDirectorsManage all scheduling and travel logisticsTranscribe minutes from meetingsPrepare reports and correspondence for monthly board meeting and as otherwise neededSupervisory: Supervision of 4 office support staffSupervision of the IT AdministratorSupervision of 1 custodial staffOffice Coordinator: Welcomes and ensure visitors are directed to the appropriate staffHandling office tasks, such as filing, generating reports and presentations, setting up for meetings, and ordering suppliesProviding real-time scheduling support by booking appointments and preventing conflictsMaintain polite and professional communication via phone, email, and mailAssume coordination for maintenance of office equipmentMain contact for vendor supportAsume reception duties when coverage is needed.Coordinate a variety of internal and community eventsAssist with information and referral as neededQualificationsKnowledge, Skill, and AbilityAbility to work with minimal supervisionExcellent written and verbal communication skillsProvide excellent customer serviceRelate to persons of diverse backgrounds and abilities and establish and maintain effective working relationshipsAdvanced knowledge of and experience with basic computer skillsAdvanced knowledge of Microsoft and Google Office SuiteAbility to organize, prioritize, and plan effectivelyMust be able to maintain confidentialityExcellent time management and ability to meet deadlinesStrong organizational skills and ability to multitaskProblem-solving and decision making skillsProactivity and self-directionInterpersonal skillsEducation and/or Experience RequiredHigh school diploma or equivalentAdvanced degree preferred1 year Customer Service experience2 years of reception or assistant experience preferredPhysical DemandsMust be able to sit for 30-60 minutes at a time at a deskTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
