General The Executive Director is responsible for overseeing the administration, programs, strategic plan, and overall financial success of the Museum. Other key duties include fundraising, marketing, and community outreach. The position reports directly to the Board of Trustees. Leadership Participate with the Board of Trustees in developing a vision and strategic plan to guide the Museum Identify, assess, and inform the Board of Trustees of internal and external issues that affect the Museum Act as a professional advisor to the Board of Trustees on all aspects of the Museum's activities Foster effective team work between the Trustees and the Executive Director and between the Executive Director and Staff Act as an advocate/spokesperson for the Museum Conduct official correspondence on behalf of the Trustees as appropriate and jointly with the Trustees when appropriate Represent the Museum at community activities to enhance the Museum's community profile Operational planning and management Develop short and long term operational plans which incorporates goals and objectives that work towards the strategic goals of the Museum Ensure that the operation of the Museum meets the expectations of its Trustees, constituents, funders and members Oversee the efficient and effective day-to-day operation of the Museum Strive to have Museum grounds kept clean, orderly, and attractive Draft policies for the approval of the Trustees and prepare procedures to implement the Museum's organizational policies; Review existing policies on an annual basis and recommend changes to the Trustees as appropriate Ensure that personnel, donor and volunteer paper and electronic files are securely stored and privacy/confidentiality is maintained Provide support to the Trustees by preparing a Trustee and Advisory meeting agenda and supporting materials Program planning and management Oversee the planning, implementation and evaluation of the Museum's programs and services Ensure that the programs and services offered by the Museum contribute to the Museum's mission and reflect the priorities of the Trustees Monitor the day-to-day delivery of the programs and services of the Museum to maintain or improve quality Oversee the planning, implementation, execution and evaluation of special projects and events Human resources planning and management Determine staffing requirements for organizational management and program delivery Oversee the implementation of the human resources policies, procedures and practices including the development of job descriptions for all staff In collaboration with Staff establish individual annual goals and objectives that support the Vision of the Museum Provide ongoing real time tactical feedback with Staff Provide formal written mid-term and annual performance reviews with Staff Establish a positive, healthy and safe work environment in accordance with all appropriate legislation and regulations Recruit, interview and select staff that have the right technical and personal abilities to help further the Museum's mission Ensure that all staff receives an orientation to the Museum and that appropriate training is provided Coach and mentor staff as appropriate to improve performance Following established HR Policy, discipline staff when necessary using appropriate techniques; release staff when necessary using appropriate and legally defensible procedures Financial planning and management Financial Acumen with significant Budgetary experience Work with staff and the Trustees (Budget Committee) to prepare a comprehensive budget Work with the Staff and Trustees to secure adequate funding for the operation of the Museum Research funding sources, oversee the development of fund raising plans and write funding proposals to increase the funds of the Museum Participate in fundraising activities as appropriate Approve expenditures within the authority delegated by the Trustees Ensure that sound bookkeeping and accounting procedures are followed Administer the funds of the Museum according to the approved budget and monitor the monthly cash flow of the Museum Ensure cost efficiency and effectiveness with all expenditures Provide the Trustees with comprehensive, regular reports on the revenues and expenditures of the Museum Ensure that the Museum complies with all legislation covering taxation and withholding payments Community relations/advocacy Communicate with stakeholders to keep them informed of the work of the Museum and to identify changes in the community served by the Museum Establish good working relationships and collaborative arrangements with neighbors, community groups, funders, politicians, and other organizations to help achieve the goals of the Museum Risk management Identify and evaluate the risks to the Museum's attendees, clients, staff, management, volunteers, property, finances, goodwill, and image and implement measures to control risks Ensure that the Museum carries appropriate and adequate insurance coverage for property damage, liability, fidelity/crime, and workers, to include for the Trustees Ensure that the Trustees and staff understand the terms, conditions and limitations of the insurance coverage Collections Management Maintain Collection/Rolling Stock Plans that serve as policy documents governing the acquisition and disposition of artifacts/archives and rolling stock With the Collection and Rolling Stock committees, establish priorities for the stabilization, maintenance, restoration, and display of artifacts and equipment Establish a complete descriptive electronic database inventory/catalog of all equipment, artifacts, and archives. Identify artifacts and rolling stock for acquisition as conditions and opportunities warrant and follow the established Collection and Rolling Stock plans. Safety Management Participates along with the Staff Safety Officer in the coordination and delivery of an ongoing safety program, through safety inspections, safety meetings and safety training In cooperation with the Staff Safety Officer, embrace and continue to develop and maintain a strong safety culture.
