Job Summary: A front desk/receptionist representative should possess superior verbal communication skills and a pleasant telephone demeanor. Having the listening and analytical skills necessary to direct client inquiries in the most appropriate manner per company processes. He/she must present themselves in a professional manner to greet clients in person and support Accelerated Wealth, Design Health and Accelerated Insurance Group staff in providing a superior experience during their visit to the company office.Essential Job Functions:Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Accelerated Wealth Duties:* -- Scheduling* -- Greeting clients/prospects upon arrival and departure* -- Gathering client intake paperwork* -- Serving clients beverages/snacks, etc.* -- Assist in Marketing efforts (newsletters, etc)-- Workshops and Class Dates* Securing room rentals for class dates/workshops* Organizing events in RedTail & Fig Marketing Tracker* Taking payments for RSVP* Sending parking details and reservation confirmations (3) times per RSVP* Heavy follow up following event closure* Application Preparation* Client Profile and Risk Tolerance* Driver's license copies* Beneficiary and Pre-App info* Most recent statements* Pre-app worksheets pulled for each application to be submitted* Internal contract prep (IAA, Addendum, etc)* IRA/ROTH IRA / ASI / Millennium Trust Account Applications* IRA/ROTH IRA / ASI / Millennium Trust Account Transfers* Allianz Annuity / Life Contract Preparation* Allianz Annuity / Life Contract Account Transfers* Other account applications as applicable (One America, etc.)* Application and Paperwork Submittals* Prepare, organize, and submit applications to prospective entity (Schwab, Allianz, Millennium Trust, Western)* Organize suitability packages for submittal in SmartSheet* Obtain account numbers (where applicable) and submit all transfer request in appropriate sequence* SmartSheet* Enter requests for suitability, liquidations, account closures, stop management, rebalance for fees, etc.* Move requests accordingly once approved-- RedTail* Manage, create, update all client accounts* Manage, create, update all events (classes/workshops)* Manage birthdays for mailings monthly* Manage task flows for all anniversary dates, review dates, annuity reviews, application tracking, transfer tracking, etc.* Take call notes under each client* Maintain compliant folders for clients accordingly* Submit items for compliance review (articles, mailings, etc)* Assist with blast emails in Constant Contact* Organize all flow of alerts with corporate office (suitability approvals, etc).* Maintain digital files of all clients in Share File; digital files of all materials used for class/workshops/etc.* Pulling Reports out of Allianz, Orion, RedTail, and more when needed* Monitor all alerts in Schwab daily and troubleshoot if issue arises* Other duties as assignedDesign Health* Schedule appointments/follow ups* Obtain DH Form /Info via email or over the phone* Vet Household information* Income, Tobacco Use, Dependents, Providers, RX, etc* SEP time- vet coverage previous, existing, etc.* Name, DOB, Address, Contact Info* Trouble shoot inquiries:* Payments* Notices* Billing /Claims issues* Eligibility for SEP* Carrier portal member accesses* Temporary Cards* Zane reimbursements* 1095 tax forms* Provider search assistance* Cold Calls into office / referral follow up* Etc.-- Work all ques in CRM* Scheduling* Enrollment Follow Up* Billing* Market Plc tasks* Initial Payment F/U* Obtain / Track Docs* Monitor PEM ques* Enrollments* BOR* OE* Paper App/Change* Research* DH Marketing Leads (when asked)* Put tasks into CRM according to need (new inquiry, enrollment follow up, policy entering, etc)* Complete all enrollment applications* Provide necessary documentation to prospective carriers as needed for enrollment / supporting documentation for claims, etc.* Update / Create new accounts in CRM* BigWave Lead Follow Ups* Appointment ConfirmationsAdditional Duties:* Answer inbound calls / Make outbound calls* Maintain conference rooms, front area, front fridge for AW guests, coffee maker and supplies in front room; maintain kitchen (dishes, coffee, supplies stocked, etc)* Maintain stock of office essentials and cleaning supplies; notify Lori or make orders for supplies on Amazon/SameDay/etc.* Clean front office, counter tops, conference tables, and glass daily* Ensure enough supply of cookies, coffee, beverages, etc. for AW clients* Scan items into SharePoint* Organize conference room bookings (internal and external)* Organize workshops for Medicare (take RSVP, send email confirms if needed, secure facility, etc.)* Maintain shred box and schedule pick up when needed* Maintain printer, paper and ink - ensuring we have enough supplies to replace used* Other duties as assignedAccelerated Insurance Group* Mail out packets as needed* Scan important documents into scan folder at AIG computer when needed* Transfer calls (when needed)Experience and Education:-- High school degree or GED required, but relevant years of experience will be considered-- 1-3 years of related experience, including 1 year of insurance industry support experienceSkills and Attributes:-- Strong verbal communication skills-- Pleasant telephone demeanor-- Proficiency in using computers and maintaining required documentation of all activities in a timely manner as required-- Excellent listening and analytical skills to understand client needs and match with optimum available solutions-- Able to utilize Microsoft Outlook, Microsoft Dynamics CRM and Microsoft Office 365 efficiently
